Customer Service Representative KN

Purpose:

Provision of excellent customer service.  Additionally, supports the marketing and selling function of SOL EC LTD., delivering value adding products and services to its entire portfolio of customers, aiding the company in delivering its short and long-term business objectives for LPG and Commercial White Oils, and delivering 100% customer satisfaction. 

 

Accountabilities:

Main Role: 
• Receives and processes orders from customers ( both stock and none stock Items) by phone , fax, e-mail. 
• Handles payments for walk-in sales and generates and provides receipt where necessary. 
• Follows-up on outstanding customer payment through telephone contact. 
• Deals with account queries with the assistance of the accounts department 
• Processes receivables and generates receipts. 
• Ensures customer accounts are maintained accurately and updated. 
• Maintain proper filing system for all customer accounts. 
• Processes payments. 
• Prepares bank deposits. 
• Ensure distribution of after sales Invoices. 
• Log in, direct, and follow up of all customer faults/ complaints by directing queries to the appropriate persons responsible and provides feedback to the customers. 
• Ensure previous day’s reconciliations are properly documented and updated in the Enterprise resource planning (ERP) accounting system. 
• Ensures all filing pertinent to sales and miscellaneious transactions are secured in a timely manner. 
• Assists the marketing department in communication as it relates to marketing activities and any other communication. 
• Support in procurement of office supplies. 
• Support all janitorial services and office equipment maintenance services. 
• Coordinate the ordering, purchase and distribution of office stationary and supplies and ensure related payments to those invoices are completed. 
• HSE- participating in Tool  Box meetings, recording and logging Unsafe Acts / Conditions. 
• Any other duties that may be  assigned from time to time as directed by the Supervisor/General Manager or managerial staff. 
 

HSSE: 

General responsibilities (includes but not limited to the following): 
• Assist in compliance reviews, general risk assessments and other safety assessments to support Health, Safety and Environmental management. 
• Maintain relevant HSE logs and documentation. 
• Identification of and assist in the compliance of applicable laws and regulations.  
• Prepare applicable HSE reports as necessary. 
• Provide assistance and advice on HSE issues to make recommendations to facility management. 
• Participate in detailed incident investigations and Root Cause Analysis. 
• Promote incident prevention for the benefit of employees and visitors. 
• Assist in the development and presentation of relevant HSE training. 
• Observe HSE regulations, wears all required safety equipment, encourages safe working practices, corrects obvious hazards immediately or reports them to the proper personnel. 
• Ability to work with employees and achieve cultural change in the face of potential resistance. 
• Maintain positive and proactive relations with managers and employees, as well as our customers and regulatory agencies. 
• Perform other work-related tasks as required as assigned. 
• Comply with all Sol and local regulatory HSE procedures and policies.

Qualification 


Requirements: 
• University degree and/or Associate Degree in Business Management, and Accounting or related fields  
• Minimum: High School Diploma with relevant advanced tertiary level courses in accounting or administration 
• 2 – 3 years working experience

• Knowledge of St. Kitts  
• Demonstrated customer service excellence focus. 
• Pleasant disposition, with demonstrated good deportment, well organized, and with excellent verbal and written communication skills. 
• Emphatic demeanor with customer focus. Must be confident when dealing with customers. 
• Competent in Microsoft Office Software, particularly Excel and Word

Other Information:

In addition to basic salary the successful applicant shall receive applicable job grade allowances and be eligible to participate in The Sol Group Pension Scheme and its non-contributory Group Health and Life Insurance Scheme. Travel will be required.
