PURPOSE OF JOB
To provide Hi-Lo Food Stores with effective HR Support while achieving the company’s strategic goals. The support should be characterized by proactive facilitation of timely manpower planning and effective recruitment and selection, efficient administration of the corrective action process and employee welfare and benefits, performance management process, identification of appropriate training and development needs and initiatives, career planning and the design and delivery of employee engagement programmes.

- Meaningful HR support within the portfolio
- High level of employee engagement in keeping with GraceKennedy’s agreed standards and EEI metric.
- Low staff turnover rate.
- Properly maintained personnel records and HR systems in keeping with statutory and corporate requirements.
- Timely and accurate submission of monthly reports
- Effective delivery of Company benefits
- Timely implementation of agreed training solutions related to succession and development plans.
- HRMIS administration and payroll verification
PRINCIPAL RESPONSIBILITIES
- Recruit and select high quality staff, in collaboration with the respective managers, who meet the current and future needs of the portfolio.
- Preparing offer, transfer, promotional and recommendation letters up to the supervisory level.
- Support the implementation and administration of all employee benefits programmes including the Medical, Group Life Insurance, Pension Scheme, Leave & Time-Off Policy (vacation, maternity, etc).
- Maintenance and upkeep of permanent and temporary personnel files (line and supervisory).
- Support managers in implementing effective training and development initiatives, co-ordinate portfolio-wide submission of training needs and interventions to address those needs, in collaboration with Talent Development Officer.
- Provide support, guidance and counsel to employees on technical and career development activities.
- Participate in the implementation of evaluation techniques to measure the effectiveness of training programmes and to enhance the contribution of learning to the achievement of company objectives.
- Ensure the ongoing adherence to the formal induction and orientation programmes in place.
- Monitor the Performance Management Process to ensure compliance and conduct performance appraisal sessions with appraisers and appraisees as required.
- Ensure all employee related processing are effectively completed for employees within portfolio companies.
- Make recommendations on HR policy or procedure reviews which will enhance the quality of HR services to the organization.
- Assist with the monitoring of compliance of HR policies and conduct regular audits of subsidiary employee records - electronic and hard copy.
- Assist with monitoring staff morale and contribute through the provision of employee relations services, conflict resolution and counseling
- Develop and roll out effective Employee Recognition Programmes (ERP) in collaboration with HR Manager and/or SBU Head.
- Conduct exit interviews in order to understand and address possible root causes of unfavourable staff turnover.
- Monitor and report on the HR Balanced Scorecard measurements and employee/organizational activities within portfolio.
HRMIS Administration and Payroll Responsibilities
- Confirm integrity, accuracy and timely entry of employees’ personal, payroll and benefit records in HRMIS by verifying data entry forms to system generated reports for new hires, rehires, change in position/pay, transfers and separations on a monthly/fortnightly basis or as required.
- Monitor Time data, as required via adhoc reports in SAP i.e. vacation quota, sick and other type of leaves.
- Verify, approve and upload SAP spreadsheets for salary payments and staff deduction e.g. variable pay to SharePoint for processing by Payroll.
- Verify and approve Payroll registers prior to payroll final run on a fortnightly and monthly basis.
- Regularly update HR Manager of any significant emerging trend or problems involving employees.
- Performs any other duties delegated from time to time to maintain a high level of efficiency within the department.
MINIMUM EDUCATION AND EXPERIENCE
- Bachelor’s Degree in Human Resource Management, Industrial Relations or equivalent qualification
- Minimum of 2–3 years’ working experience in the field of human resources development at a similar level
- Broad knowledge and expertise in Labour Relations and current HR practices
- Sound knowledge of labour laws, company policies, good HR practices
- Working knowledge of HR Software Applications
- Knowledge of employment/labour laws
- Knowledge of the FMCG markets
