(Project-based contract: 1 year with the possibility of extension until Gateway 2030 completion)

As PMO Assistant for the Gateway 2030 Program, you will play a key supporting role in ensuring the smooth operation of the Project Management Office. You will be responsible for general office coordination, administrative support, and document control management, contributing directly to the efficient execution of one of Aruba’s most significant national infrastructure projects.
 

Main responsibilities include:

·       Managing PMO document control, including classification, registration, archiving, and maintaining accurate digital and physical records.

·       Monitoring the movement of documents and ensuring timely updates in the Document Management System and shared inboxes.

·       Supporting invoice processes by following up on approvals, verifying P.O. information, maintaining vendor databases, and creating Purchase Orders in AFAS.

·       Providing general administrative support to PMO staff, including scheduling meetings, arranging travel, preparing minutes, and organizing meeting materials.

·       Performing clerical and office coordination duties such as filing, copying, inventory tracking, and office purchasing.

·       Preparing reports, compiling information, and supporting PMO presentations and documentation.

·       Liaising with internal and external stakeholders as needed and assisting with additional tasks requested by the Program Manager or Project Managers.

·       Tracking deadlines, action items, and submissions to ensure timely execution across PMO activities.

·       Preparing structured meeting agendas and professional, action-focused minutes.

·       Supporting multiple managers simultaneously and coordinating priority tasks under time-sensitive conditions.

 

Requirements:

·       Associate Degree in Administration.

·       Minimum of 3 years of relevant work experience.

·       Experience in project management and/or construction environments.

·       Experience with document control or records management.

·       Experience with Document Management Systems (e.g., Procore, SharePoint, or similar).

·       Basic understanding of construction or technical documents.

·       Ability to maintain confidentiality of sensitive project information.
 

Professional Knowledge:

•         Proficient in Microsoft Office.

•         Strong communication skills in English, Dutch, and Papiamento; Spanish is an advantage.

•         Strong reporting and documentation skills.

Department: PMO Unit

The PMO Assistant collaborates daily with Project Managers and external stakeholders such as suppliers and contractors.

This position requires a high degree of coordination and communication, with regular reporting and weekly alignment meetings within the PMO.

The role is full-time and onsite.
