To provide strong administrative and clerical support to the Human Resource Department at an expert level of competence. This position requires a thorough understanding of appropriate business practices, departmental activity, and general operating procedures.
-With limited direction, this position identifies and anticipates management needs and proposes processes/solutions. Based on understanding of the manager’s style and the intended recipient/audience
-The incumbent prepares and composes correspondence, communications and presentation materials from limited specifications. This means having the knowledge and confidence to independently create these materials and make recommendations for subsequent review.
-Manage leader’s calendar and email to maximize efficiency. Decide on necessity, timing and length of appointments requested by others, review incoming requests and correspondence to update calendar, and resolve scheduling discrepancies.
-Prepares Job Letters and Embassy Letters in accordance with CUNA Caribbean’s policies and guidelines
-Respond to emails as appropriate. Provide advanced communications support. Specifically to clarify, filter, screen and prioritize incoming requests for manager.
-Ensure materials are developed in a timely manner. Create complex materials (e.g., presentations, customized proposals/contracts, business and/or marketing plans, reports, data, statistics and associated documents) used with or for internal and external customers.
-Determine and build relationships with internal and external clients. Maintain a high degree of professionalism, tact and sensitivity to strengthen CCI’s image in the marketplace.
Interact with the Executive Leadership Team in connection with projects/assignments as requested
-Responsible for the purchase and disbursement of stationery, office, and tea supplies
-Ensures that adequate supplies of stationery, office and tea supplies are maintained and monitors usage for cost-effective operations
-Prepares relevant bills for processing, seeking approvals as per delegated limits of authority
-Maintains filing for respective leader(s)
-Arranges all travel for the respective leader and prepares itineraries
-Coordinates meetings hosted by the Chief Operating Officer or the Human Resources Department, including staff meetings
-Assists the Human Resources Department with staff initiatives, special occasions, seminars and other activities
-Any other duties as required
-Advanced proficiency in Microsoft Word, Excel, PowerPoint
-Excellent Written and Oral Communication Skills
-Strong Organizational Skills
-Confidentiality with a high level of maturity
-Minimum of five (5) years’ secretarial experience
EDUCATION, KNOWLEDGE AND CERTIFICATION REQUIREMENTS
-Bachelor’s degree in Business Management or a related discipline
