Equity Supervisor

Job Summary

The incumbent will be responsible for executing supervising and authorizing daily Operational transactions/processes/reports and projects necessary while ensuring compliance with all operating standards and policies and statutory/regulatory bodies. Assist the manager and work with the wider team (IT/S&P/staff) in developing and implementing system and process changes to ensure related market developments, regulatory and reporting changes are efficiently and effectively implemented.


Duties and Responsibilities

  • Authorizes/Verifies/signs all client confirmations, letters, transfers, deposits, client amendments or updates pledge, release documents or transactions in accordance with delegated limits for ALL FCBAS/Brokerage transactions
  • Verifies daily trading activity from Trinidad & Tobago Stock Exchange (TTSE) systems and performs electronic authorizations of equity trades and price updates as per regulatory requirements
  • Approves and signs documentation required in order to correct the system when trading errors occur to ensure that client portfolios are correct. Responsible for logging all Operational Risk challenges and ensuring that corrective action is completed on all the necessary systems
  • Resolves escalated issues arising from operations and requiring coordination with other departments ensuring ALL transactions are in line with Regulatory requirements
  • Verifies/signs off all monthly/quarterly reconciliations as per regulatory requirements e.g. TTSE/TTCD Stock Record Requirement
  • Supervises and ensure that the Equity Statements file is sent as per regulatory standard and resolves any issues with the external vendor or IT 
  • Approves all upload files for IPOs, APOs and corporate action events eg stock splits, security master records etc. All actions necessary to ensure that client portfolios are always in line with that of the TTCD or regulatory requirements or company improvement policies or procedures 
  • Authorizes bank remittances and transactions in accordance with delegated limits (A signatory)
  • Liaises with stakeholders as required in the implementation of new / upgrade of existing systems for the Operations Department which entails dealing with vendors, listing requirements, and performing tests to ensure the system provides the necessary business requirement
  • Works closely with the TTCD/TTSE and management to develop and implement system and process changes to ensure the improvement of customer service for FCBAS clients in order to remain/become the choice Brokerage firm. The supervisor also recommends changes
  • Verifies that all documents required for purchase and sale etc. are received / provided and retained for audit purposes as well as follows-up on any outstanding documents
  • Approves all calculation of fees charged/invoiced by TTSE & TTCD for ALL FCBAS transactions incurring cost to the company
  • Manages any issues that arise with settlement, transfers, pledging & Releasing cash and securities etc. and seeks to resolve these issues in a timely manner by liaising with the relevant counterparties. The Supervisor decides and or recommends the most efficient settlement instructions
  • Verifies and signs off Reconciliations of security, cash, & pledge positions and follow up the discrepancies with depository/ registrar/ sub-custodian/bank/brokers(both local and foreign)
  • Verifies and signs all confirmations e.g. audit, payment, transfer/s, letters etc.
  • Assists in the implementing of strategies and goals to ensure that the company is competitively positioned in the markets that it serves/operates
  • Liaises with the accounting area to ensure the timely and accurate flow of required information between the departments
  • Supervises daily operations of the department with specific reference to overseeing of all related transactions to ensure that they are accurately completed, recorded and reconciled in a timely manner
  • Performs the role of an authorized “A” Signatory
  • Supervises staff while ensuring their on the job training, assignment scheduling, and periodic performance appraisal including coaching and mentoring to aid in the development of staff
  • Provides on-the-job training and guidance to new operations officers as required as well as liaises with line managers and provides input in the organizing of cross-training requirements and staffing needs within the department
  • Assists in executing a program of systems training for users which complements formal training courses provided by the vendor
  • Liaises with internal/external auditors and responds to their requests/requirements as required
  • Identifies opportunities for Process Improvements, proposes and implements solutions to eliminate operational risks and provides guidance with respect to compliance of relevant regulatory requirements
  • Revisits policies and procedures in conjunction with stakeholders to ensure major processes are streamlined such that maximum efficiency is derived from the investment system
  • Liaises with Line Managers to provide input in the organization of cross-training requirements within the department and related external suppliers
  • Ensures staff compliance to all approved policies, procedures and regulatory requirements (e.g. SEC, TTCD, TTSE, AML/CFT, HSE, Fraud Central Bank etc.)
  • Provides input into the overall companies budget
  • Responds to customers’ requests, enquiries, incoming and outgoing calls, both local and foreign, in a courteous and timely manner consistent with operating standards and escalation to Manager where necessary
  • Engages in marketing of the Group’s products and services
  • Completes special projects and other delegated activities as assigned by the Manager



Qualifications and Experience

  • Candidates must possess an Associate Degree or an equivalent qualification in Business Management or related field from an accredited institution or Level I ACCA and a minimum of five (5) years related experience, one (1) of which must be with Supervisory exposure
  • Good team-player with interpersonal, supervisory and coordinating skills
  • Strong oral and written communication as well as cross-selling skills
  • Ability to use judgment, initiative and read, analyze, interpret as well as use complex documents and forms
  • Strong technical knowledge on Repos and corporate actions
  • Able to work independently and effectively under pressure arisen from workload and time constraints
  • Excellent client management skills and high level of risk awareness 
  • Good team building, research, negotiation, conflict resolution, and problem solving skills
  • Investments knowledge including investments terminology
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Knowledge of the bank’s products and services
