The Administrative Coordinator (Jetpak) will report to the Head of Courier Services. The incumbent will be required to perform various administrative and clerical duties to ensure an efficient system between the Jetpak staff, customers, and suppliers. The responsibilities will include generating reports related to sales activities and revenue, compiling performance metrics for reporting, collating and distributing timesheets & work rosters, updating the petty cash tracker, and handling and prioritizing customer requests. Daily activities will include document management, records management, drafting, editing and distributing letters & memos, editing reports & presentations and other related administrative functions.
• Customer Service: Interact effectively with all levels of employees, ensuring to uphold Caribbean Airlines’ core values in all his/her business activities. He/she shall cultivate appropriate relationships with all stakeholders.
• Policy Compliance: Ensures compliance with all financial, regulatory and operational policy requirements.
• Reporting: Ensure the delivery of accurate and timely operational, leave, and other reports, to support effective data analysis and decision making
• Service Delivery: Provide comprehensive administration and support to the team in accordance with Policies and Guidelines, Service Level Agreements and corporate objectives. Manage systems and databases for the provision and management of transactions ensuring accuracy of records and information.
You must have a minimum of five (5) CXC/GCE Ordinary Level passes, including Math and English and a minimum of five (5) years’ experience in a similar role. You must have experience taking and preparing succinct meeting minutes and effective written communication skills, including drafting, editing and proofreading. With demonstrated proficiency with MS Office Suite, in particular MS Word, MS Excel and MS Outlook and office equipment including photocopiers, printers, scanners and shredders. Proficiency in Accounting and SAP or related software will be considered an asset.
You will have excellent verbal and written communication skills and attention to detail, with well-developed planning and organizing skills. You can work independently and manage a high volume of work with shifting priorities within daily deadlines. These abilities must be supplemented with a strong commitment to service excellence.
