Position objective:
To provide a range of high level administrative and secretarial support to facilitate the work and efficient functioning of the judicial office.
Key Responsibilities and Duties:
• Composes and types memoranda and letters as directed.
• Types documents including judgements, papers, letters, memoranda and reports from written or audio sources.
• Receives, directs and dispatches internal and external correspondence appropriately.
• Maintains incoming and outgoing correspondence register.
• Creates and maintains electronic and physical files for the Judge’s Chambers.
• Creates and maintains an effective filing system (administrative and court related), updates minute sheets and flags and files all documents to ensure the organisation and security of files.
• Makes, receives, screens and directs calls, and relays messages and responds to various enquiries appropriately.
• Arranges and schedules appointments and meetings and prepare all necessary documents and agenda for the meeting.
• Records minutes of meetings and distributes same with the approval of the Judge/Senior Court Officials.
• Maintains a calendar (electronic and diary) of meetings and appointments for the Judge and provides reminders to ensure, as far as possible, that he/she keeps to his/her meeting and appointment schedules.
• Screens, meets and greets visitors to the Judge, performing protocol duties as may be required
• Transcribes court hearings and other proceedings from audio recordings.
• Proofreads and edits type-written materials for accuracy, inclusive of legal citations, and for compliance with Court policies.
• Provides administrative court support to prepare for meetings, Court, etc.
• Ensures that Court dates are recorded on the electronic calendar and that all the necessary arrangements are made for Court in keeping with the needs of the Judge.
• Conducts research as required e.g. researching, compiling, assimilating, and preparing sensitive and confidential documents including judgements; or liaising with Registry and Library staff and Judicial Assistants to source legal citations, precedents, documents and publications.
• Prepares appropriate reports on expenditure by/for the Judge to facilitate VAT reimbursements.
• Liaises with local, regional and international agencies on behalf of the Judge, as directed.
• Monitors travel arrangements including accommodation, prepares itineraries, and compiles and maintainstravel records and vouchers for the Judge, as required and liaises with the Court Protocol & Information Manager regarding protocol requirements.
• Co-ordinates and organises duties/errands for the Judge's Driver/Usher to ensure that all outstanding matters are addressed.
• Assists with the planning, organizing and execution of projects and Court events.
• Serves on committees as required and is practicable.
• Performs any other related duties as assigned from time to time.


Required Knowledge, Skills and Abilities:
• Sound knowledge of modern office practices and procedures.
• Good knowledge of legal terminology.
• Knowledge of the CARICOM region and its Court Structure.
• Knowledge of Court procedures and Court protocol.
• Excellent interpersonal, communication (oral and written) skills with an excellent command of the English Language.
• High standard of computer operating efficient in the Microsoft Office Suite and internet search engines with the ability to learn new software applications.
• Demonstrated ability and excellent knowledge of telephone etiquette.
• Ability to create and maintain accurate and organized records.
• Ability to type at a rate of 50-60 wpm.
• Ability to undertake simple mathematics.
• Ability to efficiently manage time, multi-task and function effectively in a fast paced and demanding environment.
• Ability to work in a team, and demonstrate the highest level of professional integrity, respect and diplomacy for colleagues and others.
• Ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
• Ability to use initiative appropriately on the job.
• Ability to maintain confidentiality at all times.

Minimum qualifications and experience:
• A First Degree in Public or Business Administration/Management from an accredited
University;
• Three (3) years progressive experience in the administrative and secretarial profession.
Or
• Certificate in Administrative Professional Office Management;
• Five (5) years progressive experience in the administrative and secretarial profession.
• Paralegal Certification will be an asset.


BASE SALARY: US$2,318.74 (Free of Tax)
