The successful candidates will report to the Manager, Business Services

Job Purpose

To coordinate the maintenance, repairs and servicing of government facilities and their associated furniture and equipment and to ensure that customer service operates within established standards.

 

Key Responsibilities:

Managing/Administrative Responsibilities

  • Assists with the preparation and monitoring of Divisional and Unit work plans
  • Ensures that staff comply with the policies and procedures of the Unit and Agency
  • Schedules/rosters work of support staff
  • Provides leadership through example  and sharing of knowledge and skills
  • Conducts performance appraisals in accordance with established guidelines
  • Ensures staff is trained and developed
  • Ensures the staff adhere to procedures designed for the securing of building, furniture, equipment, etc
  • Prepares reports on the activities of the Unit
  • Recommends the disposal of derelict and unserviceable or obsolete items and furniture
  • Monitors service delivery to ensure compliance with established standards
  • Evaluates customers’ needs and makes recommendations for improvements as needed
  • Monitors customer contact areas and ensures that customers are served in a timely manner

Technical/Professional Responsibilities

  • Identifies and reports to the Manager, Business Services any need for major repairs and maintenance work
  • Recommends service providers to effect repairs to building and equipment up to specified limits, monitors work done by them and certifies bills for payment
  • Assists with the disaster preparedness and emergency management programme for government owned properties and ensures adequate disaster supplies are in stock
  • Assists with the procurement and distribution of furniture and equipment
  • Ensures the inventory of furniture and equipment is current
  • Checks and certifies invoices submitted
  • Oversees the security arrangements for the Regional Office
  • Ensures efficiency in the management of the stores in compliance with established standards
  • Ensures that the offices are cleaned daily
  • Monitors the collection and receipt of public funds to ensure compliance with the FAA and regulations and other directives
  • Monitors customer contact areas to ensures that attention is given to customers
  • Evaluates customers’ needs and makes recommendations for improvement as is necessary
  • Provides responses to customers’ queries/complaints/requests
  • Prepares and dispatches routine correspondence in relation to queries/information requested by customers
  • Acts as a liaison between customers and other Division/Units
  • Monitors and measures service delivery to ensure compliance with established standards

 

Other Responsibilities

  • Performs other related duties assigned from time to time by the Manager

 

Required Competencies/Skills:

The post-holder should be able to demonstrate:

  • Excellent interpersonal skills
  • Good customer service skills
  • Excellent planning and organizing skills
  • Ability to communicate at all levels
  • Excellent problem solving and decision making skills
  • Working knowledge of Government Procurement Policies
  • Sound knowledge of building construction, pluming and maintenance of mechanical and electrical equipment
  • Competence in the use of word processing and spreadsheet software

 

Minimum Required Qualification and Experience

  • B.Sc. degree in Public Administration/ Management Studies/ Business Administration or equivalent qualifications
  • Certificate in Supervisory Management

Supervisory Experience would be an asset  

 

Remuneration Package:

  • Salary Range: $2,397,427.00 - $2,556,060.00 p.a.
  • Motor Vehicle Travel Allowance: $894,924.00 p.a.
