Tasks consist of the following, but are not limited to:

• Provide general administrative and clerical support including mailing, scanning, and copying;

• Maintain electronic and hard copy filing system and destruction of files as required;

• Registering incoming and outgoing mail and distribute mail to staff workers on time;

• Perform data entry and scan documents;

• Assist in resolving any administrative and technical problems;

• Maintain calendar, schedule meetings/conference calls, for the staff the department;

• Maintain office supplies inventory;

• Act as the contact person with travel agents and airline companies;

• Assist staff with completing standard travel advices, coordinate every aspect of travel arrangements including air, tracking flight status and arrival details, hotel accommodations, ground transportation and all related logistics;

• Maintain office budget;

• Assist staff with completing travel reports for staff ;

• Assist staff with preparations for international missions;

• Assist with drafting basic letters and memos;

• Draft standard responses to official letters or diplomatic notes with standard language and format;

• Draft agenda and minutes for staff meetings;

• Assist with consolidation of monthly staff reports and annual department reports;

• Draft purchase orders, file invoices and follow up with payments;

• Track, follow-up and report on pending advices.

Knowledge and skills:

• 2+ years of hands on secretarial/administrative support experience;

• Proficiency in MS Word, MS Excel and MS Outlook;

• Knowledge of operating standard office equipment;

• Consistent record of meeting deadlines and taking initiative to solve problems;

• Must possess critical thinking and a “can-do” attitude for all situations;

• Demonstrates a proactive ability to anticipate needs and react efficiently and calmly in the face of changes;

• Direct experience dealing with sensitive and confidential information with integrity;

• Extraordinary work ethic, discreet and trustworthy;

• Excellent communication, prioritization and problem solving skills; know when to delegate issues upward;

• Determined, self-motivated and eager to take on new challenges while remaining calm under pressure;

• Knowledge of organization and internal work procedures;

• Basic knowledge of international affairs, political affairs and geography;

• Good research skills and attention to detail;

• Professional and diplomatic communication skills in the English and Dutch language (verbal & written).

We offer:

A salary based on a 40-hour workweek, and ranging between min. NAf. 2.205,00 and max. NAf. 4.774,00 gross per month, depending on knowledge and experience
